Skip to contentA tent's wind rating tells you what the structure can withstand under defined conditions when correctly installed and anchored. It does not tell you what to do at four in the afternoon when the sky changes, two hundred guests are seated, and the bride's father is asking whether everything is fine.
Those are two different problems. The first is engineering. The second is an operational decision that somebody has to make under pressure, usually with incomplete information, and often with a client who very much does not want to hear it.
A wind action plan is what turns that moment from a judgement call into a procedure. This article covers what belongs in one, who should hold the authority, and why the conversation has to happen before the event rather than during it.
Published wind ratings describe performance under specific, controlled conditions with correct installation and proper anchoring. Real installations vary from those conditions in ways that matter.
Ground conditions differ — a stake in saturated soil does not hold what the same stake holds in firm ground. Ballast may be under-weighted. Terrain and surrounding buildings channel and accelerate wind unpredictably. Gusts behave differently from sustained wind. And crucially, a rating assumes the tent as designed, which is not the same as the tent with sidewalls added.
Adding sidewalls fundamentally changes a tent's relationship with wind. An open canopy lets air pass through. A walled tent becomes a solid surface for wind to push against and lift.
That last point deserves emphasis because it is routinely underestimated. If your plan was built around an open tent and the client asks for sidewalls on the morning of the event, the wind assumptions underneath your plan have changed.
None of this means ratings are useless. It means a rating is an input to your decision, not the decision itself.
Name a person. Not a role, not a committee — a specific individual with a phone number, and a named deputy for when they are unreachable.
This is the single most important element and the one most often left undefined. In the absence of clear authority, the decision defaults to whoever is most confident in the moment, which is frequently the person with the most to lose from stopping the event. The person with authority should be yours, not the client's, and everyone should know that before the day.
Your thresholds should come from the manufacturer's specification for the specific equipment installed, adjusted downward for the conditions you are actually in. Write them down as numbers, not as descriptions like "strong wind," because under pressure a number is defensible and a description is arguable.
Build in at least two stages rather than one. A monitoring threshold, where you start watching actively and stop adding load, and an action threshold, where you evacuate and strike. Having only a single trigger means the decision arrives all at once, usually too late.
Inflatables generally carry considerably lower operating wind limits than tents, and manufacturer specifications for them are typically explicit. Treat those limits as hard, not advisory, and remember they apply to the wind at the unit, not the forecast for the county.
Define the sequence in advance and in order: stop entry, move guests out, deflate or strike, secure loose items, and account for personnel. Decide who tells the guests and what they say, because an unmanaged evacuation creates its own hazards.
Decide also what happens to the equipment. Striking a large tent in rising wind is itself dangerous and takes a crew you may not have on site. Sometimes the correct answer is to clear people and leave the structure, which is a decision better made calmly in advance than urgently at the time.
A forecast is a starting point, not a measurement. Conditions at your specific site can differ substantially from the regional forecast, particularly near water, on open ground, or between buildings.
A handheld anemometer is inexpensive and removes the argument entirely. Measuring at the site converts a debate about whether it feels windy into a number that either is or is not above your threshold. For any significant installation it is worth carrying one.
Alongside that, assign someone to actively watch official weather alerts during the event rather than assuming somebody will notice. Severe weather warnings frequently arrive with less lead time than people expect, and "nobody was looking" is a poor position to be in afterwards.
The worst time to explain your wind policy is while you are enforcing it.
Tell the client during booking that a wind action plan exists, that you hold the authority to invoke it, and what the thresholds are. Most clients accept this readily when it is presented as professional practice. Almost none accept it gracefully when it arrives as a surprise mid-reception.
Put it in the contract. Cover who has authority, what the thresholds are, what happens to payment if an event is curtailed for weather, and the client's obligation not to obstruct an evacuation. Also address what happens if a client refuses — because it happens, and your position is far stronger if the contract already anticipated it.
Encourage clients to have a rain and weather contingency of their own. An event with an indoor fallback is an event where the difficult conversation is much easier.
Much of what determines how a tent behaves in wind is decided at install, not during the event.
Anchor to specification every time, including on jobs where it feels excessive. Under-anchoring is the most common contributing factor in tent failures and it is entirely within your control. Our guides to ballast anchoring on hard surfaces and staking on grass and gravel cover the specifics.
Think carefully about sidewalls in forecast wind, and be willing to advise against them or remove them. Inspect equipment before install — worn webbing, damaged fittings and elongated grommets all fail earlier than sound components. Consider siting: open exposed ground and waterfronts are harder than sheltered locations.
And if the forecast is genuinely bad before you leave the warehouse, the safest decision available is not to install. That decision costs a booking. The alternative can cost considerably more.
