You are working to a purchase order, a board-approved budget and a procurement process, and whatever you buy has to satisfy a fire marshal, survive a decade of use by teenagers, and be safe enough that nobody has to think twice about putting children under it.

What schools use tents for
- Graduation ceremonies — the single biggest tent event in most school calendars, and the one with the least tolerance for weather
- Outdoor assemblies and award ceremonies
- Athletic events — team shade, concessions, registration, first aid at track meets and tournaments
- Fall festivals, carnivals and fundraisers, usually run by a PTA on a tight budget

For graduation specifically, remember you are seating families as well as graduates, and that ceremonies frequently run longer than planned in whatever weather arrives. Size up, and plan for sidewalls if rain is plausible.
Safety and compliance
This is where school purchasing differs most. Your fire marshal will inspect, and your district will want documentation on file.
Every commercial tent we sell is NFPA 701 certified and each ships with a Tent Identification and Warning label. Certificates are available to download at any time — useful when a district office asks for compliance documentation months after the purchase.
Two things worth knowing:
- Occupant load drives requirements. At 50 or more you will typically need a floor plan showing exits, seating and any heating or electrical.
- Anchoring is inspected separately from fabric certification. On asphalt — which is where most school tents go — you need ballast rather than stakes. See our guide to anchoring on hard surfaces.

Wind is the risk that matters
School events are frequently large, outdoors, and full of children. Establish before the day who has authority to evacuate a tent and at what measured wind speed — and make sure the person with that authority is not the person under pressure to keep the ceremony running. - Folding chairs and stacking chairs — the practical question is storage between events, so consider a chair dolly at the same time
- Tables for registration, concessions and fundraisers
- Portable staging for ceremonies and performances
- Bleachers for athletic events

Is it cheaper to buy or rent?
If you hold two or more tented events a year, buying usually wins within a few seasons — and you gain control over scheduling, which matters when graduation weather forces a change of plan. If you tent once a year, renting is often more sensible.
Can a tent go on our parking lot?
Yes, using ballast rather than stakes. Budget for the ballast — it is heavy, it has a real cost, and installing on asphalt is a different job from installing on a field.
How long will it last?
A commercial tent used a few times a year and stored dry will last many years. The vinyl top is the wear item and can be replaced without replacing the frame. Storage practice matters more than age — see our guide to tent top lifespan.
Can we print the school logo on it?
Yes. Custom printing is available on most tent tops. Call for artwork requirements and lead time — plan well ahead of graduation.
