A grand opening has one job: make a location that people have driven past for months look, for one day, like somewhere something is happening. A tent does that from a quarter mile away, which is further than any banner reaches.
Beyond Tent supplies commercial-grade tents and event equipment to retailers, franchises, restaurants, medical practices, banks and the agencies that run their launch events, shipping from six US locations.
Where these get used
- Retail and franchise openings — the core use, and usually part of a corporate launch playbook
- Restaurant and brewery launches, frequently with outdoor seating that becomes permanent afterwards
- Bank branches, medical and dental practices, where the event is community relations rather than same-day sales
- Ribbon cuttings with chambers of commerce and local officials
- Groundbreakings, where there is no building yet and the tent is the entire venue
- Anniversary and re-launch events after a renovation or rebrand
- Multi-location rollouts, where the same equipment travels market to market
Sizing
| Tent | Sq ft | Standing guests | Typical use |
|---|---|---|---|
| 10’x20’ | 200 | ~25 | Registration, refreshments, giveaway table |
| 20’x20’ | 400 | ~50 | Ribbon cutting party, small opening |
| 20’x40’ | 800 | ~100 | Standard opening — speeches, catering, mingling |
| 30’x60’ | 1,800 | ~225 | Major launch with entertainment |
| 40’x60’ | 2,400 | ~300 | Large community event or multi-tenant opening |
Standing receptions are the usual format, which fits far more people than seated. Subtract for a stage, a bar, a catering line and the ribbon-cutting position itself — and remember that at an opening, guests arrive in waves rather than all at once, so peak occupancy is usually lower than your invite list.
Frame tents are clear-span, which matters when everyone needs to see a ribbon being cut in one specific spot.
The tent is the advertising
This is the use where branding matters most, because the event is the marketing. A custom printed top carries your name at a scale nothing else on the site does, and it is visible to every car that passes — most of whom will never come in, but will now know you exist.
For a franchise or multi-location business, a printed tent is reusable across every future opening, anniversary and community event. It stops being an event cost after the second use.
Printed pop-up tents for smaller footprints, full custom printing on commercial tops. Printing needs lead time — start that conversation before you fix the date.
Permits — check zoning, not just fire
Opening events on commercial property attract attention from more than one department, and businesses routinely handle only the obvious one.
- Temporary use permit from planning or zoning. This is the most commonly missed approval for a commercial-lot event.
- Fire permit above roughly 400 square feet, with NFPA 701 documentation. Certificates are available to download.
- Signage and inflatable rules, which frequently sit under a separate ordinance from the tent itself — and many cities specifically regulate giant inflatables and searchlights.
- Parking and circulation, since the tent occupies spaces your site plan may be required to keep available.
- Alcohol and food service permits where either is offered.
- Property owner or landlord consent if you lease.
Our permit guide covers what triggers a review.
Anchoring
You will be on a parking lot or a sidewalk apron, so ballast, not stakes. Weight at every leg with base plates to spread load — asphalt softens in heat and concentrated weight leaves marks a landlord may charge for. See hard-surface anchoring.
Commercial lots are open with nothing to slow wind. Have a defined wind threshold before the day, particularly with a crowd and local officials present.
Equipment that makes people stop
Attention
Searchlights are the classic grand opening signal — visible for miles after dark. Special effects including cold sparks and confetti for the ribbon-cutting moment itself, which is the shot that ends up in the local paper and on your social feed.
Family draw
Commercial inflatables, games and concessions. Families stay significantly longer than individuals, and dwell time is what turns an opening into customers. See our inflatable safety and compliance guide — several states regulate commercial inflatables as amusement devices, and your insurer will ask.
Speeches and presentation
Portable staging so the ribbon cutting is visible from the back of the crowd rather than just to the front row.
Comfort
Heaters or cooling depending on season, cocktail tables, seating for guests who need it and tables for catering and giveaways.
Crowd management
Crowd control fencing to define the event area and separate foot traffic from vehicle movement in an active lot.
Weather
Sidewalls on site regardless of forecast. A grand opening has a fixed date, usually announced, and cannot move.
Opening one location or twenty? Franchises and multi-location businesses should buy rather than rent — the same branded equipment works at every opening, anniversary and community event afterwards. Tell us your rollout schedule and we will quote it.

Common questions
Buy or rent for a single opening?
Rent for one location and no plans to repeat. Buy if you are a franchise, opening multiple sites, or intend to run community events afterwards — two rentals usually approach the purchase price of a branded tent you keep.
How far in advance do we need to order?
Tents ship in one to two business days plus transit. Custom printing is the long pole — start artwork early. And start the zoning permit even earlier; that is usually the slowest step of all.
Can we put the tent in our parking lot?
Usually, with a temporary use permit and landlord consent. Confirm how many spaces you may occupy — some sites are required to maintain a minimum count.
What size for 100 guests?
A 20x40 for a standing reception. Go to 30x60 if you are adding a stage, catering line and entertainment.
Are searchlights and inflatables allowed?
Many cities regulate both separately from the tent, sometimes limiting hours or prohibiting them entirely. Check with planning before you build the event around them.
