Corporate events are judged on whether they felt considered. A tent that is the right size, level underfoot, properly lit and comfortable in the actual weather does more for that impression than anything printed on the programme.

Capacity by layout

The same tent holds very different numbers depending on how you use it. This is the table to work from when someone gives you a headcount and asks what to book.

These assume the full floor. Subtract for a stage, bar, buffet, registration desk or AV position — a presentation setup can consume a quarter of the space before a single guest arrives. Frame tents are clear-span, which matters when everyone needs a sightline to a stage or screen.

Permits and venue requirements

Public assembly usually requires a permit above roughly 400 square feet, and a corporate event on company property is still public assembly. At 50 or more occupants expect to provide a floor plan showing exits.

All commercial tents we sell are NFPA 701 certified with certificates available to download. If you are erecting on a third-party site — a stadium lot, a convention centre apron, a leased venue — that venue will have its own requirements on top of the municipal ones, frequently including proof of insurance and an approved anchoring method. Ask for their requirements in writing early; they are often stricter than the city's.

Branding

Custom printed tent tops and sidewalls put your identity on the structure itself. For a company doing multiple activations a year, a branded tent is reusable inventory rather than an event expense — it works at the picnic, the trade show and the client hospitality event, and it photographs.

Equipment

Flooring

Event flooring and carpet. Level, clean footing is the difference between a corporate event and a field with a tent on it, and it is what accessibility compliance usually turns on.

Staging and presentation

Portable staging for presentations, panels and awards. Pipe and drape to divide space, create back-of-house, or build booth structure inside a larger tent.

Climate

Heating and cooling. An uncomfortable guest leaves early, and for a corporate event that is the entire measure of failure.

Furniture

Stacking chairs for volume and fast turnover, tables for meals and registration, cocktail tables for standing receptions, linens for finish.

Lighting

Event lighting and string lights. Any event running past sunset needs a lighting plan, not an assumption.

Common questions

Should we buy or rent?

Rent for a one-off. Buy if you run several events a year or want consistent branding across them — two or three rentals often exceed the purchase price, and a branded tent you own is reusable inventory.

Can you provide a formal quote for our purchase order?

Yes. Call or email with your requirement and we will provide a quote in the format your procurement process needs.

Who installs it?

Smaller tents can be installed by facilities staff with the right equipment. Large structures need experienced crews. Tell us the size and who will be installing and we will be straight with you about whether it is realistic.

Can we use tents indoors, at a convention centre?

Frequently yes, and NFPA 701 documentation is usually required. The venue will have its own rules on anchoring, since you cannot stake a convention floor — ballast or venue-approved methods only. Confirm with the venue first.

How far in advance should we order?

Most commercial tents ship in one to two business days plus transit. Custom printing adds lead time. For a dated event, order with margin — freight is the variable, not the tent.
