What graduation season actually needs
- Ceremony cover — over the stage and platform party at minimum, over the audience where budget allows
- Guest seating shade, which matters more than people plan for. Late May and June ceremonies routinely run in direct sun with elderly relatives in the audience.
- Overflow viewing for families beyond the ticketed allocation
- Reception and refreshments immediately after
- Photo areas, which back up badly if you have not planned space for them
- Robing and staging areas for graduates before the processional
- The wet-weather fallback — the reason most schools buy rather than gamble
Capacity for ceremony seating
Graduations use theatre seating — chairs in rows, no tables — which fits substantially more people than any banquet layout.

Subtract for the stage, the processional aisle and camera positions. Frame tents are clear-span with no centre pole, which for a ceremony is not a nicety — every family in the audience is trying to see one specific person cross one specific stage, and a pole in the sightline is the complaint you will hear about afterwards.
Order early — this is the constraint nobody plans for
Graduation season is compressed into a few weeks in May and June, and every school in the country needs the same equipment on the same weekends. Rental inventory in most markets is fully committed months in advance, and freight networks are at their tightest.
If you are buying rather than renting, order well before the season rather than in it. If you are a rental company, this is the period your fleet earns its highest utilisation of the year — and the reason graduation-capable inventory pays for itself faster than the annual average suggests.
Permits and school-specific requirements
A graduation is public assembly, usually with a large occupant load, so it attracts more scrutiny than a smaller event.
- Fire permit above roughly 400 square feet, with NFPA 701 documentation. Certificates are available to download for the file.
- Floor plan showing exits at 50+ occupants, and at commencement scale expect this to be examined properly.
- Accessibility. Level access to seating, and space for wheelchairs within the seating plan rather than at the back as an afterthought. Flooring is usually what makes this work on grass. See our guide to accessibility at tented events.
- District or university approval, which is often a separate process from the municipal permit and frequently slower.

Heat is the safety issue
Graduations happen in late spring sun, with an audience that skews older, seated still for over an hour, and graduates in heavy gowns. Heat illness at commencement is common enough that it should be planned for rather than hoped against.
Shade over the audience, fans or evaporative cooling, and accessible water are the practical answers. Shade alone drops perceived temperature meaningfully; shade with air movement does considerably more.

Seating
Folding chairs in volume for the audience — the standard choice because they set and clear fast. Stacking chairs where storage between years matters. Bleachers for large audiences on a field.
Staging
Portable staging for the platform. Raising the stage is what lets families in row twenty actually see the moment they came for.
Flooring
Event flooring and carpet for the aisle and stage area — accessibility, and the fact that heels and gowns on wet grass is a problem you only need to see once.
Reception
Tables, linens and refreshment equipment for afterwards.
Crowd management
Crowd control fencing for the processional route, stage perimeter and photo queue.
Weather
Sidewalls on site regardless of forecast. A ceremony that has to continue through rain is exactly the scenario the tent exists for.

Common questions
Should we cover the whole audience or just the stage?
Stage-only is the common budget answer and it fails in rain, because the audience leaves. If the ceremony must proceed in weather, cover the audience. If the tent is purely for sun, stage plus front sections is usually enough.
Buy or rent?
A school using a tent once a year is usually better renting — unless local rental inventory is committed by March, which in many markets it is. Districts running multiple ceremonies across several schools often reach payback in a single season. Our ROI guide shows the maths.
Can our facilities staff install it?
A 20x40 yes, with a few people and the right equipment. A 40x100 needs an experienced crew — do not plan to raise one with volunteers the morning of commencement. Tent jacks substantially reduce the hands needed.
What if it is windy on the day?
Have a written threshold and a named decision-maker before the day. See our wind action plan guide. A tent is also not lightning shelter — your severe weather policy must move people to hard structures.
Can we print the school name on it?
