Almost every wedding tent that goes wrong goes wrong the same way: somebody sized it for the guest count and forgot that the dance floor, the bar, the buffet and the head table all need floor too. The tent that fits 200 seated fits about 140 once the wedding is actually in it.

Sizing by guest count — the honest version
Two columns, because they answer different questions. The first is the theoretical maximum. The second is what you can actually seat once a real wedding is laid out in it.

What actually eats the space
- Dance floor — 300–600 sq ft for most weddings. Rule of thumb: roughly a third of guests dance at once, at about 4.5 sq ft each.
- Bar — 100–200 sq ft including the space people stand in waiting, which is always more than the bar itself.
- Buffet or food stations — 100–200 sq ft plus a queue lane.
- Head or sweetheart table — 100–200 sq ft with clearance behind it.
- Band or DJ — 100–300 sq ft. A full band needs considerably more than a DJ.
- Cake, gifts, guest book, photo booth — small individually, 100–200 sq ft together.
Add those up before you pick a size. It routinely comes to 800–1,200 square feet, which is an entire 20x40 tent of things that are not guest seating.
Frame or pole — this one matters for weddings
Frame tents are clear-span. No centre pole, no interior obstruction, and you can lay out tables and a dance floor anywhere. For a wedding this is usually the right answer, because a centre pole has a habit of landing exactly where the dance floor or the head table wants to be.
Pole tents cover large areas more economically and have a classic swept profile many couples want in photographs. The trade-off is real interior poles you must design around. For very large weddings the cost difference can be significant enough to justify it.
Gable frame tents give a higher, more architectural roofline while staying clear-span.
Rain plan — decide it before you need it
A wedding has one date and no reschedule. The tent is the rain plan, which means the tent has to work in weather rather than merely exist.
- Sidewalls on site, always — even if the forecast is perfect. Sidewalls that are in the truck are useless. Clear and window panels keep the view if it stays dry.
- Flooring if there is any chance of soft ground. Event flooring is what stops heels sinking and a lawn turning to mud by the first dance.
- Heat for anything outside high summer. Temperature drops sharply after sunset in most of the country, and cold is what ends a reception early. Heaters.

Permits
A wedding is public assembly. Most jurisdictions require a permit above roughly 400 square feet, and private property does not exempt you. At 50 or more guests expect to provide a floor plan showing exits.

What turns a white tent into a wedding
Liners
Tent liners are the single highest-impact purchase after the tent. They hide the frame, soften the light and are the difference between a functional structure and a room that photographs. For a rental company they are also the easiest upsell you will ever write into a quote.
Lighting
String lights, lanterns and event lighting. Every wedding runs past dark. Lighting is not decoration at that point, it is whether people can see their food.
Dance floor
Dance floors — and on uneven ground, a subfloor underneath. A dance floor laid straight onto a lawn will move.
Furniture
Crossback and Chiavari-style chairs, farm tables, round tables, linens, throne chairs and cocktail tables for the reception hour.
Staging
Portable staging for the band, the ceremony platform or a raised head table.

Common questions
What size tent for 100 wedding guests?
With a dance floor and bar, a 30x60 is the comfortable answer. A 30x45 works if the dance floor is small and catering is plated rather than buffet. A 20x40 will seat 100 only if nothing else happens under the tent.
What size for 150? For 200?
150 with a dance floor and bar: a 40x60. 200 with the same: a 40x80. If you are near the edge, size up — a tent that is slightly too big reads as generous, one that is slightly too small reads as a mistake all night.
Can we join two tents together?
Frame tents of the same series and width can typically be joined to make a longer structure, which is often cheaper and more flexible than one large tent. Ask us about your specific series before assuming it.
How far in advance should we order?
Most commercial tents ship in one to two business days plus transit. Custom printing and liners add lead time. For a dated wedding, order with real margin — freight is the variable that bites, not the tent.
Can we set up on a lawn without damaging it?
Staking leaves small holes that recover. The bigger issue is that turf under a tent goes without light — over a weekend it recovers, over a week in summer it may not. Flooring protects both the lawn and the guests.
Do we need heaters in summer?
More often than people expect. In most of the country the temperature drop after sunset is significant, and an outdoor reception that gets cold at 9pm empties early.
