Tent Safety Protocols
Beyond Tent provides these safety guidelines to help rental operators, event venues, and event organizers deploy commercial frame tents and pole tents safely and in compliance with applicable standards. Following these protocols protects your guests, your equipment, and your ability to obtain permits for public events.
These guidelines are general best practices for commercial West Coast frame tents, pole tents, and similar structures. Always consult your local jurisdiction for site-specific requirements, and refer to your tent manufacturer's installation instructions.
1. NFPA 701 Flame Retardancy — What It Means and Why It Matters
All commercial event tents sold by Beyond Tent carry NFPA 701 flame-retardant certification. NFPA 701 is the standard published by the National Fire Protection Association that defines flame-retardant performance requirements for fabrics used in tents and temporary structures.
What NFPA 701 certification means:
- The tent fabric has been tested and confirmed to resist sustained ignition
- Every NFPA 701-certified tent top ships with a permanently attached label documenting the flame-retardant certification — this label must remain attached throughout the tent's service life
- The certification applies to the tent top fabric itself; frame components, sidewalls, and liners are evaluated separately
Why it matters for your events:
- Most jurisdictions require NFPA 701-certified tents for any public assembly event, including weddings, festivals, corporate events, school events, and government functions
- Fire marshals and building departments will request proof of NFPA 701 certification before issuing a permit — the attached label on your tent top is that proof
- Event insurance policies commonly require NFPA 701-certified structures; using an uncertified tent may void coverage
Never remove the NFPA 701 flame-retardant label from a tent top. If a label is lost or damaged, contact Beyond Tent at sales@beyondtent.com.
2. Fire Marshal Permits — When You Need One and How to Get It
Most jurisdictions require a permit from the local fire marshal or fire department when a tent exceeds a certain size or is used for public assembly. Requirements vary by city, county, and state, but the following guidelines apply in most US jurisdictions.
When a permit is typically required:
- Tent floor area exceeds 200 square feet (this threshold varies — some jurisdictions require permits for any tent used for public assembly)
- The event is open to the public
- Food, alcohol, or cooking is present under or adjacent to the tent
- Electrical lighting or heating equipment is used inside the tent
- The tent is set up on commercial or public property
What fire marshals typically require:
- NFPA 701 flame-retardant certification documentation (the attached label on the tent top, plus a copy of the manufacturer's certification if requested)
- A site plan showing tent placement, exit paths, fire extinguisher locations, and clearance distances from buildings and other structures
- Minimum 10-foot clearance from structures in most jurisdictions
- Two or more exit paths for tents with a capacity over a specified threshold (commonly 49 persons)
- Proof of proper staking or ballasting
How to get a permit:
- Contact your local fire marshal's office or fire department at least 2–4 weeks before the event
- Request their specific tent permit application and checklist
- Submit the application with the required documentation (site plan, tent specs, NFPA 701 certification)
- Schedule an inspection if required by the jurisdiction

3. Staking Requirements — Soft Ground Installation
Proper staking is the primary anchoring method for tents on grass, dirt, or other soft surfaces. Inadequate staking is one of the most common causes of tent failures in wind events.
Stake specifications:
- Use steel stakes — minimum 1" diameter, 18"–36" length depending on tent size and soil conditions
- Larger tents (30-wide and above) require longer stakes (24"–36") and may require multiple stakes per leg in loose or sandy soil
- Drive stakes at a 45-degree angle away from the tent, in the direction of the ratchet strap pull
- Stakes must be fully driven — no more than 1"–2" of the stake should be visible above ground
Ratchet straps:
- Each perimeter leg must be attached to a stake with a ratchet strap or tent rope
- Straps must be tightened so the leg is firmly anchored — no slack
- Check all strap tension before the event and re-check during multi-day events, as ground settlement can loosen tension
Underground utility check:
- Always call 811 (Dig Safe) before driving stakes — this is a legal requirement in all US states
- Utility marking must be completed before any staking operations begin
- If underground utilities are present, switch to ballast weight anchoring (see Section 4)

4. Ballasting Guidelines — Hard Surface Installation
When installing a tent on concrete, asphalt, pavers, or any hard surface where stakes cannot be driven, ballast weights (concrete blocks or water weights) are used to anchor the structure.
Minimum ballast weight requirements:
- Ballast weight requirements vary by tent size and local wind load requirements
- A general industry guideline for commercial frame tents in moderate wind zones is 200–400 lbs per perimeter leg for standard installations
- Larger tents, high-wind locations, and elevated/exposed sites require additional ballast — consult a structural engineer or your local jurisdiction for site-specific load calculations
- Water-fillable ballast bags or concrete blocks must be securely attached to the tent leg via strap — weight sitting adjacent to a leg but not strapped to it does not count as anchoring
Placement requirements:
- Ballast must be placed directly at the base of each perimeter leg
- The strap from the leg to the ballast must be taut
- Ballast must remain in place throughout the event — do not remove or relocate during the event
- Mark ballast locations to prevent guests and staff from tripping

5. Wind and Weather Safety
Commercial frame tents are designed for outdoor use but are non-engineered structures. They are not designed to withstand severe weather, and event operators have a responsibility to monitor weather conditions and take action when conditions deteriorate.
Wind guidelines:
- Most commercial frame tents are rated for winds up to approximately 35–45 mph when properly staked or ballasted
- When sustained winds exceed 25 mph or gusts exceed 35 mph, consider canceling or evacuating the tent — do not rely on marginal conditions
- Check the National Weather Service forecast before every event
- If a severe weather watch or warning is issued for your event area, evacuate the tent immediately and do not re-enter until the warning is lifted
What to do in a wind event:
- Evacuate all guests and staff from under the tent
- Move to a permanent structure or vehicle
- Do not attempt to hold the tent down by hand or add weight to legs during an active wind event
- After the wind event passes, inspect all stakes/ballast, ratchet straps, and frame connections before allowing re-entry
Rain:
- Commercial 16 oz blockout vinyl tent tops are waterproof — water will shed from the sides
- Do not allow water to pool on the tent top — pooling water adds significant load and can collapse a tent
- Ensure tent pitch is correct so water runs off to the sides; do not flatten the peak intentionally
Snow:
- Commercial frame tents are not rated for snow load
- If snow accumulation is forecast, the tent must be taken down or snow must be cleared before accumulation occurs
- Even a few inches of wet snow can create hundreds of pounds of load that a frame tent is not designed to support
Lightning:
- A tent provides no protection from lightning
- At the first sign of lightning within 10 miles, evacuate all persons from under the tent and seek shelter in a permanent structure or hard-top vehicle
- Wait 30 minutes after the last observed lightning before returning
6. Tent Setup Safety
- Never set up a tent when wind speeds exceed 25 mph — wind during setup is a leading cause of injury
- Minimum crew: 3–5 persons for tents up to 30x60; 5–8 persons for larger sizes
- Build the roof skeleton on the ground before inserting perimeter legs — do not attempt to insert legs into a tent top that is elevated
- Wear gloves when handling aluminum pipe components — edges can be sharp
- Inspect all components before setup — do not use bent, cracked, or damaged frame components
- Do not stand on the tent top to lace or adjust it
7. Electrical Safety Inside Tents
- All electrical equipment used inside a tent must be installed by a licensed electrician in jurisdictions where this is required
- Use only UL-listed extension cords and equipment rated for the voltage and amperage of the connected load
- Keep all electrical connections elevated off the ground when water is present
- Generators must be placed outside the tent — never operate a generator inside a tent or enclosed space (carbon monoxide risk)
- Propane or natural gas heaters require proper clearance from tent fabric — follow the heater manufacturer's minimum clearance requirements
